Your Role

We are seeking an enthusiastic, detail-oriented Office & Operations Assistant to join Dialpad. In this one-of-a-kind, hybrid position, you will help cultivate the best environment for our Argentina employees in the office, as well as work closely with our Engineering team to assist in events and projects. You will form relationships and partnerships with individuals across Dialpad to get the work done in an effective, efficient and fun way. The ideal candidate will possess excellent attention to detail, a can-do attitude, and a calm demeanor to handle a variety of responsibilities at once. If you have been in office management or operations before, that is a plus, but not necessary. Most of all, we want someone who is willing to learn with a positive outlook on their role and what they can bring to it.

What you’ll do

Office Operations Act as our Buenos Aires office manager, with the requirement of being in-person 80% of the week. Be the point of contact for guiding visitor experiences: coordinating transportation, meals, activities, and events when people are in town (from other offices).  Coordinate with Dialers in order to grant them access to the office, both locally and with visitors from other offices.  Book venues and food for office-level events, as well as provide support and/or guidance to teams that want to organize events. Helping set up for global events, preparing the space (e.g., chairs/tables distribution) accordingly, as well as interacting with IT for AV needs.  Coordinate lunch for people that attend the office, as well as basic provisions such as coffee and a basic assortment of snacks. Ensuring stock levels remain available. Partner with our People team to welcome new hires on their first Monday, providing them with a basic orientation of the office, services and setting them up so they can attend their global onboarding remotely in a proper room and with their respective welcome kits. Manage all Argentina swag by keeping tabs on the current stock of the items of various sizes, working with local vendors to ensure a consistent stock of swag, coordinating special event swag with remote leaders.  Keeping our office stocked with basic elements such as office supplies (pens, post-its, batteries, etc) in order to support any teams that require these for things like onsites. Keeping a basic set of inventory for things like MacBook chargers, and keeping tabs on a "loaner" mechanism for people that need these items, while also ensuring that they are returned at the end of the day and properly accounted for. Engineering Operations  Partner with Engineering’s Business Strategy & Operation manager to plan & execute Dialpad’s annual Hackathon. Assist in larger event management of Quarterly Business Reviews, Launches, Manager Summits and various events within the R&D organization (Engineering, Product, Design).  Collaborate with operations employees across EPD on projects and events.  Help run quarterly Engineering All Hands and other Engineering-wide meetings/events.  Keep Engineering documentation up to date.  Manage swag requests and fulfillment.  Manage Copilot onboarding and licenses.  Assist in setting up Show & Tells for Engineering, Product and Design organizations, as well as Infrastructure Spheres.  Calendar assistance for Engineering leaders.  Work closely with the Engineering Productivity team.  Work with Engineering Managers on various projects as needed.

Skills you’ll bring

Bachelor’s degree or equivalent practical experience. Self-motivated, independent, and proactive. Exceptional attention to detail and organizational skills. Strong communication and interpersonal skills. Ability to communicate both orally and written in English and Spanish.  Ability to successfully work with multiple departments and have multiple cross-functional dependencies. Optimize practices and processes to support the Buenos Aires office. Be comfortable wearing many hats and able to work in an agile environment with changing priorities and critical deadlines, we move very fast! Familiarity with Google suite products and other technology tools/products.   Office management or operations experience a plus, but not required. Thank you for your interest in this opportunity.
